Capacity and your setup
Plan for 50 people as the standard event setup. Requests for 51 to 60 people need team approval after the layout and access requirements are reviewed. Count everyone attending, including performers, crew and event staff. Never exceed the capacity confirmed by the team or any applicable venue limit.
Do not advertise or sell tickets above the confirmed capacity. Keep exits, access paths and equipment areas clear. Let the team know about audience seating, accessibility needs and large equipment before booking.
Alcohol needs written approval
No alcohol may be brought in, served, supplied or sold without prior written approval from the Donkeyman Records team and any legally required licence or permission. Selecting BYO in a booking form is a request, not permission to bring alcohol. Room hire does not include a bar, alcohol service or a liquor licence.
Tell the team whether alcohol will be BYO, sold, supplied or included in a ticket. The team must agree on the arrangement and review any required licensing, responsible service and security before the event can proceed with alcohol. Do not supply alcohol to underage guests or permit unsafe intoxication.
The 48 hour minimum is for room hire. Alcohol licensing can take weeks. Contact the team well in advance; a booking or deposit cannot fast track a licence. Check Liquor Control Victoria’s licence guidance ↗ and temporary event licence timeframes ↗ for your event.
Illegal drugs and conduct
Illegal drug use, possession and supply are prohibited throughout the space. Violence, harassment, threatening behaviour, unsafe intoxication and conduct that puts others at risk are not permitted. The team may refuse entry, require a person to leave or stop unsafe activity. Contact emergency services if someone is in immediate danger.
Do not smoke or vape inside. Treat the equipment, property, neighbours and other people with respect.
Security options
You can ask the team to assess security needs, request a quote for licensed security, or propose your own licensed provider. Security is not included in the base hire price and is not charged at the room booking checkout. Any quote, hours and additional payment must be agreed separately.
The team confirms the security arrangement based on your event, headcount, alcohol plans and any applicable requirements. Where crowd control is needed, appropriately licensed personnel must be arranged. An ordinary guest or friend is not a replacement for a required licensed crowd controller. See Victoria Police private security guidance ↗.
Timing and the booking payment
Website hire bookings require at least 48 hours’ notice. Your hire time includes arrival, setup, the session or event, and pack down. Leave the space ready to hand back at the booked end time.
Bookings over $50 use a $50 payment towards the total. Shorter hires costing $50 or less are paid in full. Your account shows the remaining balance and receipts. Member discounts apply to eligible room hire; separately quoted services have their own agreed price.
Requests involving alcohol, more than 50 people, or security arrangements remain subject to team review after payment. The calendar time is held while the team reviews them. A booking payment does not approve alcohol service, a larger capacity or a security plan. Contact the team before making event commitments if your plans depend on these approvals.
Changes, cancellations and questions
Contact the team promptly to request a change, cancellation, refund or a different setup. Additional services and any event specific conditions must be agreed with you separately. Nothing in this policy removes rights that cannot be excluded under Australian Consumer Law.
